Process at Vietnam embassy

You have to contact the local Vietnamese embassy for updated form and routines.

(1) Application form: The easiest and best options are applying online. Follow our guide on our order form. Choose Visa Code at the Embassy.

  • Bring this to the pre-chosen embassy. Hand in Passsport, all the documents, photos, local visa stamping fee,  fill out a form at the embassy, and you get the visa stamp.

(1B) OR In case it is impossible for you to fill in the visa application online, you can download a PDF visa application form  (you should contact your nearest  Vietnamese embassy for a updated visa application form).

Completed form must be printed out, signed and attached with 01 photo (passport size 2×2 inches, other may be accepted) . In case of a loose-leaf-visa request, 01 additional photo (total 2 photos) must be stapled to the form.

2. Original PASSPORT (which requires at least 01 month validity prior the date of exit from Vietnam and/or 06 month validity to meet airlines’ requirements and international requirements). In urgent cases, a loose-leaf-visa can be requested, then a copy of passport (photo and personal detail pages) may be submitted instead of the original passport.

3. Visa fees must be in the form of MONEY ORDER, or CASHIER’S CHECK, or COMPANY CHECK payable to “EMBASSY OF VIETNAM” or Credit Card (Visa or MasterCard) if applying in person at the Embassy. Applicants applying together may submit combined payment in one money order or one check. Note: The routines may varies according to local Vietnamese embassies. Other current fees to be included (such as visa arrangement fee, processing fee, shipping, handling and expedite services).

4. A prepaid return envelope, if the applicant requests the visa be returned by mail. Please use New Zealand Postal Service (prepaid postage stamp envelope or return label bought online at www.usps.com) or prepaid return FedEx label (bought online at www.fedex.com). DO NOT use normal postal service, since your passport and documents might get lost during postal handling.

For your documents safety, the Embassy advices to use USPS Express Mail or FedEx with the tracking numbers. Applicants applying together may provide one envelope for visas to be returned to the same address. For international shipping, please pay in the form of money order payable to the “Embassy of Vietnam”.

Diplomatic and official visas will be granted for free unless otherwise agreed upon between Vietnam and the applicant’s country. In addition to the documents specified in (I), the applicant must submit a visa approval telex number, a diplomatic note or an official letter from the relevant agencies of the New Zealand Government, Embassies or Consulates accredited to the New Zealand , and international organizations.

Processing time

Processing time is from your visa application with all documents and payments are received by the embassy or the consulate. Normal processing time is 5-7 business days are required to process visa applications with approval. Expedited processing will take one to two business days after the Embassy receives the application (additional fee required). Note: Please keep the tracking numbers of the envelopes to and from the Embassy. When the above deadlines have passed, use the tracking number to check with the mailing service first. Recommend not to use normal postal service.

Normal regulation at the embassy for contacting them regarding the visa status are: “Please do not make telephone inquires on the status of your application (make sure that you keep your passport number for this request) until after the 1st business day for an expedited case and the 3rd business day for a regular case”. 

The Embassy will be closed on Saturday, Sunday. Please take into consideration local Holidays and Vietnamese Holidays when you plan your visa application. In addition, no mail can be delivered at the Embassy during weekends and holidays.
